How to Make an Invoice as a Freelancer (With a Free Template)

What to put on a freelance invoice, how to number it and how to get paid faster.

A clear invoice gets paid faster. Whether you design, write, code or consult, the structure is the same.

What to include

  • Your name or business name and tax registration number if you have one (GSTIN in India, VAT number in the UK/EU).
  • Client name and billing details.
  • Invoice number and date, plus a due date.
  • Line items: what you delivered, quantity or hours, rate and amount.
  • Tax, if you are registered to charge it.
  • Total due and accepted payment methods.

Numbering

Use a simple, consecutive system such as 2026-27/001. Never reuse numbers.

Payment terms that work

  • State a due date ("Due within 15 days") rather than vague terms.
  • Ask for an advance on large projects.
  • Send a polite reminder the day after the due date.

International clients

Mention the currency clearly. Indian freelancers exporting services should check the rules for zero-rated supplies and Letters of Undertaking with a tax adviser.
